Staying Safe and Healthy

at Face-to-Face Events at ERA




The Covid-19 pandemic is not yet over. Vaccination rates are rising but we must still all do what we can to ensure that the virus and its new variants do not spread.

From September 2021, ERA plans again to host face-to-face events at its conference centre in Trier and in other locations.

Before the event

Attendees are advised to book travel and accommodation with flexible cancellation conditions or to take out travel cancellation insurance. ERA will inform registered participants one month before the event whether it will take place in face-to-face format. ERA nevertheless reserves the right according to its General Terms and Conditions to cancel an event until two weeks beforehand.

For attendees at events organised in the framework of EU-funded projects for whom travel and/or accommodation costs may be reimbursed, ERA will not reimburse the costs of travel and/or accommodation booked earlier than one month before the event. The cost of travel cancellation insurance can be reimbursed.

If ERA is obliged by the public health situation to cancel a face-to-face event, it will in principle be replaced by an online event on the same dates. Participants will be entitled to switch to the online version or to cancel their participation at no cost.

At the event

ERA applies the Corona Control Ordinance (Corona-Bekämpfungsverordnung – CoBeLVO) of the State of Rhineland-Palatinate for events taking place in Trier and the same or stricter local standards at other locations.

The key measures applicable at the current date (13 September 2021) are the following:

  • All visitors (including participants, speakers, interpreters) must be vaccinated against, recovered from or tested for Covid-19 beforehand. This will be checked by ERA before entering the building. Persons who are fully vaccinated or recovered persons are not obliged to submit a test result.
  • Visitors may bring their own antigen test (self-test) and perform this test in the presence of an ERA representative. Upon request, the result and time of testing can be confirmed by ERA. Self-tests may only be carried out in the covered area in front of Building A.
  • Admission checks will take place directly in front of the entrance.
    During events, admission checks will take place daily until the end of the event.
  • Visitors who are not prepared to comply with the applicable rules will be denied entry according to the house rules.
  • Attendees must disinfect their hands when entering the ERA premises. Suitable disinfection dispensers are available.
  • Attendees must wear a medical face-mask when they are in the ERA buildings at all times except when they are seated at a table. Non-medical face-masks are not accepted.
  • A minimum distance of 1.5 metres must be observed between attendees, for example when waiting in line. Tables and chairs are placed to ensure a distance of 1.5 metres between attendees and must not be moved. The number of persons permitted in rooms, toilets, lifts and other spaces is limited in order to maintain the required minimum distance.
  • Air purification devices are placed in all conference and workshop rooms, which are also regularly ventilated.
  • During breaks, attendees are served by ERA staff. There is no buffet service.
  • All spaces within the ERA buildings are cleaned regularly.
The above list of measures will be reviewed regularly and updated in the light of changes to the Corona Control Ordinance or applicable local regulations.
